Last updated: May 2025
Please read these Terms & Conditions carefully before using the PatientsFlow AI website or platform. By accessing or using our services, you agree to be bound by these terms.
1. Website Usage
This website is operated by PatientsFlow AI, a UK-based AI automation platform. By using this website, you confirm you are at least 18 years of age and agree to use it only for lawful purposes and in accordance with these Terms.
We reserve the right to modify, suspend, or discontinue any part of the website or platform at any time without notice.
2. AI-Generated Communication Disclaimer
PatientsFlow AI provides AI-powered automation tools designed to assist private healthcare clinics with patient enquiry response, follow-up workflows, and booking processes.
Important: AI-generated communications produced by our platform are automated responses intended to support — not replace — human clinical judgement. Our platform does not provide medical advice, diagnosis, or treatment recommendations. Any AI-generated communication should be reviewed in the context of your clinic's own clinical and regulatory responsibilities.
3. Service Limitations
PatientsFlow AI is an automation and communication platform. We do not guarantee specific outcomes, conversion rates, or results. The platform is designed to improve response times and engagement workflows; individual results will vary based on clinic operations, enquiry volume, and configuration.
We aim to maintain platform availability but do not guarantee uninterrupted access. Scheduled maintenance and occasional downtime may occur.
4. Intellectual Property
All content on this website — including text, graphics, logos, design, and software — is the intellectual property of PatientsFlow AI and is protected by applicable UK and international copyright laws. You may not reproduce, distribute, or use any content without our prior written consent.
5. User Responsibilities
When using our website or platform, you agree not to:
- Use the service for any unlawful or fraudulent purpose.
- Attempt to gain unauthorised access to any part of our systems.
- Transmit any harmful, offensive, or misleading content.
- Misrepresent your identity or affiliation.
- Use automated tools to scrape or extract data without consent.
6. Liability Limitations
To the fullest extent permitted by UK law, PatientsFlow AI shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use the website or platform, including but not limited to loss of data, revenue, or business opportunities.
We do not accept liability for the accuracy, completeness, or timeliness of any AI-generated content produced through our platform. Clinic operators remain responsible for reviewing and approving patient communications in accordance with their own regulatory and clinical obligations.
7. Demo & Booking Terms
Demo bookings and strategy calls arranged through our website are complimentary and non-binding. We reserve the right to reschedule or cancel sessions with reasonable notice.
Information shared during a demo or walkthrough is provided for illustrative purposes only and does not constitute a contractual offer unless confirmed in writing.
8. Third-Party Integrations
Our platform integrates with third-party services including OpenAI, HeyGen, GoHighLevel, WhatsApp Business, Twilio, Make.com, Zoho, Stripe, and Google Cloud. Use of these integrations is subject to each provider's own terms of service and privacy policies. PatientsFlow AI is not responsible for the actions or availability of third-party services.
9. Payment & Subscription Terms
Where applicable, platform access and subscription services are billed in advance. Pricing, payment terms, and refund policies will be communicated clearly before any commercial agreement is entered into. These terms will be detailed in a separate Service Agreement for clinic clients.
10. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
